# Hedge-Fund Recruiting Tracker

A simple, one-place tracker for running an off-cycle hedge-fund search. Most fund hiring is
off-cycle and headhunter-led — there is no single calendar — so the candidates who do well are the
ones who stay organised: which funds, which headhunters, which stage, and what the next action is.

How to use it: paste the tables below into a spreadsheet (Google Sheets / Excel) or keep them in a
doc. Fill a row the moment you have any contact — an application, a recruiter intro, a referral.
Update the Stage and Next action every time something moves. Review the whole sheet once a week and
schedule every follow-up.

---

## 1) Fund / role pipeline

| Fund / Platform | Type (MM pod / single-mgr / quant) | Strategy / desk | Role | Source (HH / referral / inbound) | Date opened | Stage | Next action | Due date | Notes |
|---|---|---|---|---|---|---|---|---|---|
| | | | | | | | | | |
| | | | | | | | | | |
| | | | | | | | | | |

Suggested **Stage** values (move a row down the funnel as it progresses):
`Researching` -> `Applied / intro'd` -> `HH screen` -> `1st round` -> `Modelling / case` -> `Stock pitch` -> `Final / PM` -> `Offer` -> `Closed (won / lost / on hold)`

## 2) Headhunter tracker

Relationships with the buy-side recruiters matter as much as the applications. Track who covers
which funds, when you last spoke, and when to check back in.

| Headhunter / firm | Coverage (funds / strategies) | First contact | Last contact | Relationship | Next touch | Notes |
|---|---|---|---|---|---|---|
| | | | | | | |
| | | | | | | |

## 3) Interview prep log (per process)

| Fund | Round | Format (fit / technical / modelling / pitch) | What they asked | What I'd fix | Outcome |
|---|---|---|---|---|---|
| | | | | | |
| | | | | | |

## 4) Stock-pitch bench

Have two or three pitches ready to go at any time — a long and a short — each with a variant view,
a catalyst, and the risk that would make you wrong.

| Ticker | Long / Short | Thesis (variant view, one line) | Catalyst | Key risk | Status (ready / needs work) |
|---|---|---|---|---|---|
| | | | | | |
| | | | | | |

## Weekly review checklist
- [ ] Every active row has a Next action and a Due date.
- [ ] Followed up on anything overdue (a short, specific nudge beats silence).
- [ ] Reached out to at least one new headhunter or warm contact.
- [ ] One stock pitch rehearsed out loud, end to end.
- [ ] Logged what each interview actually asked, while it is fresh.
